OVERVIEW OF THE ROLE  

The CRE Shared Services Reporting & Data Analyst will be a key member of a central team that provides support to Workspace teams across different regions. This role combines data analysis with administrative support, focusing on reporting, tracking, and managing data related to workspace operations. You will assist with day-to-day workspace services, manage data for facilities operations, and ensure effective reporting to drive quality, efficiency, and customer satisfaction across multiple locations.

KEY RESPONSIBILITES 

·        Data Analysis & Reporting:

o   Design and implement reporting systems to support workspace operations and business analysis.

o   Generate reports that provide insights into key data points across multiple platforms, in line with CRE reporting requirements.

o   Analyze and interpret data, creating business reports that offer actionable insights to enhance service quality and cost-effectiveness.

o   Communicate findings and trends to managers and relevant stakeholders in both written and verbal formats.

·        Workspace & Procurement Support:

o   Provide comprehensive administrative support to Workspace teams across various regions.

o   Raise and release purchase orders daily using Oracle iProcurement/Purchasing modules, ensuring timely processing.

o   Assist with invoice tracking, troubleshooting discrepancies between invoices, goods receipts, and purchase orders.

o   Manage and monitor the local SSC email inbox, handling queries and triaging requests to appropriate locations.

·        Database & Systems Maintenance:

o   Maintain and update data within CAFM and other facilities management systems, ensuring accuracy and relevance across multiple locations.

o   Track preventive maintenance schedules (PPMs) across locations, requesting status updates from workspace managers and ensuring timely execution.


TO EXCEL IN THIS ROLE, YOU WILL NEED TO HAVE 
·        Bachelor’s degree in business, finance, information systems, or a related field.

·        Advanced proficiency in SQL and Microsoft Excel, with skills in creating pivot tables, graphs, and charts for data visualization.

·        Minimum intermediate proficiency in Power BI for creating dashboards and reports.

·        1-3 years of relevant experience as a Reporting Analyst, Financial Analyst, or in property/workspace administration.

·        Strong analytical skills with attention to detail, capable of generating data-driven insights to support workspace and CRE services.

·        First-class written and verbal communication skills, with the ability to present data clearly and effectively.

·        Proficiency in MS Office (Excel, Outlook, Word, PowerPoint) and familiarity with Oracle-based finance systems.

·        Excellent organizational and time-management skills, able to handle multiple priorities and meet deadlines.

·        Strong team ethic, able to work both independently and collaboratively.


Desirable Skills and Certifications:

·        Experience with CAFM and/or other facilities management software suites.

·        Familiarity with other reporting and data visualization tools such as Tableau, Power BI, or similar.

·        Experience in a fast-paced business environment, preferably supporting multiple departments.

·        Strong understanding of workspace and facility management best practices (e.g., experience with asset management and maintenance scheduling tools such as CAFM or IWMS systems).

·        Experience with small automations to streamline workflows and improve efficiency it’s a plus.
